Role
Our Client has a requirement for a Senior Document Controller, who will be required to work on a contract basis in Reading, on a hybrid basis.
Role Purpose:
The Senior Document Controller is responsible for managing and overseeing all aspects of document and records management on a major engineering project. The role ensures that all project documentation is controlled, distributed, and maintained in accordance with project requirements, quality standards, and contractual obligations. Working closely with engineering, procurement, construction, and client teams, the Senior Document Controller provides leadership in the implementation and administration of document management systems, supports process improvement, and ensures timely delivery of documentation to support project execution.
Job Role Responsibilities:
- Lead the document control function for the project, ensuring compliance with company and client standards, procedures, and governance frameworks.
- Manage the setup, configuration, and ongoing maintenance of the project’s Electronic Content Management System (ECMS).
- Oversee the receipt, registration, review, distribution, and archiving of technical and supplier documentation.
- Develop, implement, and maintain document management processes, including document numbering, workflows, transmittals, and metadata control.
- Support training and mentoring of document control personnel and project users to ensure consistent application of procedures.
- Monitor and report document control performance through metrics, dashboards, and progress reports.
- Manage document control interfaces with engineering, procurement, construction, and quality teams to ensure smooth information flow and traceability.
- Coordinate and process supplier, subcontractor, and client documentation in line with project schedule requirements.
- Support internal and external audits, ensuring document control compliance and readiness.
- Maintain records retention, turnover, and archiving plans in accordance with contractual and legal requirements.
- Collaborate with IT and project teams to resolve ECMS-related issues and identify opportunities for process automation or efficiency improvement.
- Contribute to continuous improvement initiatives and lessons learned in document and records management practices.
Experience / Skills / Knowledge / Qualifications:
- Significant experience (typically 10+ years) in document and records management within large, multi-disciplinary engineering, construction, or infrastructure projects.
- Previous experience leading or supervising document control teams on complex projects.
- Strong knowledge of Electronic Content Management Systems (ECMS) such as Aconex, Documentum, SharePoint, or similar platforms.
- Proficient in Microsoft Office applications, particularly Excel and Power BI, with the ability to generate reports and performance metrics.
- Demonstrated ability to develop and implement document management procedures, workflows, and distribution matrices.
- Excellent communication, coordination, and stakeholder management skills across all levels of an organisation.
- Strong analytical and problem-solving ability, with a proactive and structured approach to workload management.
- Experience supporting supplier document management processes and managing large document volumes.
- Knowledge of records retention requirements and project close-out documentation processes.
- Relevant qualification in business administration, information management, or a related discipline preferred.
